How to set up goods movement reference automation

What is goods movement reference (GMR) automation
Goods movement reference automation is a feature of the Trader Support Service that helps you create and manage a goods movement reference. It takes declarations references generated in the portal and sends them to the government’s Goods Vehicle Movement Service (GVMS). This means you do not have to do it manually yourself.
Instead of typing in the details, you can use GMR automation in the Trader Support Service. Once activated, any information you add will be sent to GVMS for you. This reduces manual work and helps avoid mistakes.
Before you start
To ensure the Trader Support Service can send information to GVMS on your behalf, as an administrator of the Trader Support Service account you need to make sure that:
- your business is registered for the Goods Vehicle Movement Service (opens in a new tab)
- you have access to the Government Gateway account (opens in a new tab)
Authorise the Trader Support Service to access GVMS on your behalf
Sign in to your Trader Support Service account and perform the following actions.
- Go to your Business profile.
- Go to Goods vehicle movement reference (GMR) automation.
- Select Change in the Automation Permission row to complete information requested by GVMS.
- Select Authorise at the bottom of the GMR Automation Authorization page.
- Select Continue to allow the Trader Support Service software to connect with HMRC.
- Select Sign in to the HMRC online service - you will be redirected to HMRC.
- Enter your user ID and password and select Sign in.
- Select Give permission to confirm that you want HMRC to read and write goods vehicle movement service records.
Once these steps have been completed, you will get a confirmation on the page and by email.
You can return to your Goods vehicle movement reference (GMR) automation section in the Business profile. The status should display:
- Automation permission: Granted
- Permission grant date: Date
- Auto-update enabled: Yes
Disable auto-update
Auto-update automatically updates a goods movement reference created in the Trader Support Service with any changes to the consignments associated with it.
Once the status of the Automation permission has changed to Granted, the Auto-update enabled status will be automatically set to Yes.
You can disable the auto-update by following these steps.
- Select Change, in the Auto-update enabled row.
- Select Enable or disable at the bottom of the page.#
- Check the status of Auto-update enabled is displaying No.
If you disable the auto-update function and your declaration changes status from 'Draft' or 'Trader input required' to either:
- authorised for movement
- amendment required
- awaiting arrival (applies to IMMI)
You will need to update the GMR manually. To do this:
- Select View goods movement references (GMRs) in your account menu.
- select Draft GMR.
- Enter the GMR Local reference number in the search box or scroll to find it in the list of GMR Local references present on the page.
- Select the Local reference number identified.
- Select Submit.
The goods movement reference status (opens in a new tab) will change as the goods move, and this is automatically updated in the Trader Support Service.
Revoke goods movement reference automation
You can revoke goods movement reference automation in the Trader Support Service by following these steps.
- Select Change in the Automation Permission row.
- Select Revoke at the bottom of the GMR Automation Revocation page.
- Check the status of Automation Permission is displaying Not Granted.
Once the status changes to Not Granted, you can no longer create a goods movement reference through the Trader Support Service. You’ll need to create it in GVMS instead.
